How to redact a bank statement before you share it

A bank statement is one of the most common documents people are asked to send to a stranger: a landlord, a letting agent, a mortgage broker, a visa application, an accountant. Most of those recipients need to see that money comes in and that the name on the account matches the application. They do not need a month of every payee, every card number, or the other people who appear in the transactions.

This guide covers what is usually safe to leave visible, what is worth removing, and how to check the file before you send it.

What they usually need to see

For a rental application or a similar affordability check, the useful information is typically:

  • Your name, matching the application
  • The account holder's address, if they are confirming residence
  • Incoming payments that show regular income — salary, wages, benefits
  • Enough history to see the pattern (often one to three months)
  • A running balance that makes the story hang together

That is a short list. A full statement is a long document. The gap between the two is what redaction is for.

What is usually worth taking out

These are the items that appear on almost every statement and almost never help the person at the other end:

  • Other people's names in the transaction list — joint account holders besides you, children, anyone you pay or get paid by
  • Payees that reveal your life — a clinic, a union, a particular shop, a regular transfer that identifies someone else
  • Full account numbers and sort codes. The last few digits are often enough to show it is a real statement from that bank
  • Card numbers, if they are printed
  • Contact details in the letterhead that are not needed to authenticate the document
  • Transactions that have nothing to do with affordability — once income and the overall balance are visible, the rest is optional

You do not have to empty the page. A statement with every line blacked out except the salary looks like you are hiding something. Leave the structure of the document intact — dates, amounts that support the story, the bank's identity — and remove the identifiers that are none of their business.

A workable pass

  1. Ask what they need, in writing, if it is not already specified. "Last three months, name and incoming salary visible" is a clearer job than "send a statement."
  2. Work from a PDF, not a screenshot and not a photo of a screen. Photos are hard to redact properly and easy to read more from than you intended. Download the official PDF from the bank.
  3. List the strings to remove before you start: account number, sort code, other people's names, payees you do not want to share, card numbers.
  4. Use a real redaction tool, not a black rectangle. A filled shape leaves the text in the file.   5. Check the filename and the document properties. Jane-Smith-Santander-July.pdf may be more than you meant to send. PDFs also carry an author field.
  6. Verify. Open the finished file, select a redacted line, copy, paste into a notes app. If the original payee appears, the redaction failed.

Tools that actually remove content

  • Adobe Acrobat Pro has a Redact tool that removes content if you are marking known boxes by hand. Acrobat Reader can display a redacted file but cannot produce one.
  • Apple Preview (macOS Sonoma and later) has a Redact tool in the markup toolbar. Use that, not the rectangle from the same toolbar.
  • Other paid PDF editors with a dedicated redaction feature work the same way: mark, apply, then sanitise hidden information.

What this is not

Redacting a statement does not make it anonymous, and it does not stop the recipient storing what you send. It only limits how much of your financial life travels with the file.

Do not edit the amounts or the incoming salary lines to tell a better story. That is a different act from redaction, and it is the one that gets applications refused — or worse.

If the request is for a Right to Rent check in England, that is an identity-document process, not a bank-statement process. Do not send a statement because someone used the wrong name for the check they actually need.

After you send it

You cannot pull a file back. Send it by a channel you are willing to see forwarded — a portal the agent already uses is usually better than an email attachment that will live in someone else's inbox for years.
